We are looking for a detail-oriented and proactive Procurement Executive to join our team. This role is vital in managing end-to-end purchasing, ensuring document accuracy, coordinating with suppliers and freight agents, and supporting effective inventory control. The ideal candidate is experienced in procurement operations, ERP systems, and thrives in a fast-paced, team-oriented environment.
Job Responsibilities:
- Procurement & Documentation
- Process purchase requisitions and generate Purchase Orders via ERP.
- Handle intercompany sales/purchase documentation with internal teams.
- Maintain a proper, audit-ready filing system for procurement records.
- Ensure all procurement activities comply with internal controls and SOPs.
- Assist in price comparison and basic cost evaluation of vendor quotations.
- Inventory & Warehouse Coordination
- Ensure FIFO (First-In, First-Out) compliance in warehouse operations.
- Coordinate with the Sales Admin and Warehouse teams to ensure FIFO is followed for picking and issuing stock.
- Monitor warehouse space and provide suggestions for optimized stock placement.
- Highlight slow-moving/aging stocks and support clearance planning.
- Supplier & Shipping Coordination
- Liaise with freight forwarders to ensure timely, accurate, and cost-efficient shipment arrangements.
- Request and update monthly vessel schedules and freight quotations.
- Monitor shipping timelines and support resolution of delivery-related issues.
- Data Management & Reporting
- Prepare and assist in issuing bundling / stock transfer documents.
- Support reconciliation of goods received, POs, and supplier invoices monthly.
- Administrative & Ad-Hoc Support
- Perform general clerical duties such as data entry and document preparation.
- Maintain confidentiality of procurement-related information.
- Provide support for cross-functional tasks and projects as assigned.

Diploma or Degree in Supply Chain Management, Business Administration, Logistics, or related field. |
Other Requirements |
- Fresh graduates are welcomed to apply.
- Hands-on experience with ERP systems.
- Knowledge of procurement processes and intercompany transactions.
- Familiarity with FIFO inventory practices and warehouse coordination.
- Understanding of shipping documents, Incoterms, and import/export procedures.
- Strong Microsoft Excel skills.
- Organized, analytical, and able to multitask in a fast-paced environment.
- Good interpersonal and communication skills.
- Experience in international shipping or customs documentation. (Preferred)
- Exposure to vendor negotiation and cost-saving initiatives. (Preferred)
